Introduction


OVERALL PURPOSE OF THE JOB


The South African Civil Aviation Authority is seeking to employ an Administration Officer to offer general administrative assistance as deemed necessary for SACAA purposes and issuance of certificates in accordance with legislation. Screening telephone calls and handling enquiries; organising your manager’s diary and making appointments; dealing with letters and emails; producing reports and presentations; arranging meetings; organising and maintaining office systems; taking notes at meetings; making travel arrangements looking after visitors; acting as office manager and supervising other administrative functions.

KPA / MAIN OUTPUTS AND RESPONSIBILITIES

Communication

•Ensure appropriate communication within SACAA and with external clients.


Customer Interface

•Project a satisfactory image of the SACAA to all customers in dealing promptly with telephonic, mailed or personal interactions


Legislation Administration

•Provide administrative support with information data and records.

•Process operation manuals and amendments.

•Update database regularly.

•Control fees and applications.

•Issuance of IPS, FOP, AOC, ATO numbers, etc.


General Administrative Functions

•Develop and maintain a proper filing system; screen and classify documents; track documents; accurately retrieve information as and when required.

•Coordinate functions and meetings.

•Arrange domestic and international travel.

•Manage the control of all consumables and liaise with the Procurement Department regarding stock.

•Prepare and assist with departmental meetings.


Requirements

EDUCATION AND EXPERIENCE

MINIMUM

• Grade 12 plus formal training in office procedures and use of office equipment.

•Driver's license

•1 year's experience in an Administrator role

•1 year's Client Services exposure

•Intermediate Microsoft Office Knowledge


IDEAL

•Diploma in Business Administration/Secretary or Basic Project Management

•Good knowledge and understanding of intranet systems

•Good knowledge of company’s policies and procedures;

•Diploma in Business and Administrative Management

•Advance Training in Microsoft Office

All SACAA appointments are subject to S98 of the Civil Aviation Act, 13 of 2009 and all successful candidates will be subjected to security vetting.
