Occupational Health & Safety Co-ordinator

PURPOSE

Provision of high level administrative support on Health and Safety contracts with service providers.

JOB OUTPUTS

Co-ordinate and drive project tasks with the Service Line Manager

  • Communication with potential service providers during sourcing phase

  • Follow up on reports / quotes from consultants (internal & external)

  • Manage existing contracts ensuring that money and services are received on time

  • General departmental administration

Tender Process Administration

  • Proactively search for relevant tender opportunities aligned with company services.

  • Maintain tender schedule, tracking key deadlines and submission requirements.

  • Ensure timely preparation and submission of tender documents.

  • Coordinate with internal teams to gather necessary tender information and approvals


Specialised OHS Administration

  • Modify, update, and maintain contracts and associated documentation, processing, and communicating changes

  • Compile project & client specific invoicing packs

  • Prepare OHS documentation including work permits for projects

  • Maintain project master files (hardcopies of all documentation per project)

ESSENTIAL REQUIREMENTS

  • Qualification in Administration, Project Management, Health and Safety or equivalent

  • Computer skills (Microsoft Office Suite)

  • Experience of 2-5 years in any of these disciplines : administration, project management or health & safety.


COMPETENCY REQUIREMENTS

  • Project Management : able to plan and implement tasks with a high level of organisational and administrative skills

  • Initiative: ability to self-start, be proactive and lead action

  • Information Management: collecting, processing, disseminating , storage and retrieval of various forms of information according to sound principles

  • Collaboration: ability to co-ordinate tasks & projects with diverse groups in geographically dispersed locations

  • Good Report Writing Skills: Microsoft Word, Excel and PowerPoint skills

  • Good Attention to Detail: able to work accurately
