About the job:
The CSIR has a vacancy for a Group Assistant within the Mandela Mining Precinct (MMP), a Public Private Partnership co-hosted by the CSIR and the Minerals Council South Africa. Employed by the CSIR, the incumbent will provide secretarial and administrative support to the MMP team. This position will be based in Rosebank Johannesburg. Key responsibilities:
Provide secretarial support to the Executive Director, and to the group as a whole.
Responsible for diary management, travel, and accommodation arrangements, ordering of office equipment, stationery and IT equipment and other office administration duties.
Type and prepare various documents (i.e. letters, e-mails, agenda, minutes, etc.) accurately, timeously and in accordance with the specific needs;
Perform electronic and manual filing and management of documents to ensure proper maintenance of records including retrieval of documents when required;
Prepare, receive, register and dispatch documentation and mail;
Perform information searches on the Internet, relevant books, journals and magazines to assist the department to execute its function;
Organize meetings and events (book meetings, arrange refreshments, distribute agendas and minutes etc.) for the group;
Draft agendas, take minutes and follow up on actions emanating from meetings as guided by the manager.
Acquire, maintain and apply sufficient knowledge and skills to effectively utilize various software programs and systems relevant to the office environment (e.g. MS suite of tools including word, excel, PowerPoint, MS Teams and SharePoint etc);
Serve as the record management officer for the Mandela Mining Precinct.
Provide support to management on budget and procurement processes.
Process expenses for meetings arranged and attended.
Process purchase orders, S and T Claims and payments
Qualifications, skills and experience:
A National diploma in office management, administration, secretarial or any other related fields with at least one year relevant secretarial experience;
Proficient in Ms word, excel, PowerPoint, MS Teams and SharePoint etc
Good planning and organizing skills,
Ability to exercise tact and good judgement with highly sensitive information;
Ability to work accurately and efficiently.
Ability to work under pressure to meet deadlines.
Ability to establish and maintain good relationships within the workplace.
Ability to maintain high level of confidentiality;
Ability to function independently and within a team.
Ability to exhibit fast turn-around times with meeting documentation.
Ability to interact with internal and external stakeholders to coordinate meetings and other stakeholder engagements.
Knowledge of the CSIR systems (e-procurement, workflow etc)
All international qualifications require an evaluation report / certificate issued by the South African Qualifications Authority (SAQA).
