INTERNSHIP OBJECTIVE:

 

The purpose of the internship is to provide exposure and experience to the graduate in the Administration department at SANRAL Eastern Cape office. This exciting opportunity will enable the graduate to work with experienced Registry Administrator and Office Manager. Registry controls the formal channels of communication and enables an organization to perform its functions.  It services the various sections/departments of the organization and its stakeholders. Registry ensures that all records are correctly classified, filed, stored, and disposed off when no longer needed. 

 

                                  

MINIMUM REQUIREMENTS:

  • The incumbent must have a National Diploma in Office Management and Technology or appropriate NQF level 6 qualification in Office Administration.

  • Higher Certificate in Archives and Records Management will be an added advantage.

  • No work experience required.

 

KEY RESPONSIBILITIES:

Under the supervision of the office manager the intern will be exposed to and assist with:

 

Reception

 

  • Welcoming of guests with a friendly smile

  • Direct visitors to the right person

  • Answer incoming calls, direct calls to the correct contact person, take and deliver messages when necessary

  • To ensure neatness at Reception all the times

  • Always ensure professionalism and friendliness as the frontline person

  • Manage and update the telephone list for the Eastern Cape office

  • Ensure professionalism is maintained in conduct and communication

  • Make travel arrangements for the allocated team and provide administrative support as required

  • Procurement of office groceries and stationery according to supply chain processes.

 

 

Registry

 

  • Archiving, recording, indexing, and packing of all closed records for off-site storage.

  • Assist with the receipt, opening, sorting and dispatch of mail.

  • Daily distribution of all incoming mail received to the respective staff.

  • Assist with the preparation of all outgoing mail.

  • Numbering and preparation of documents for filing.

  • Preparation of file covers for all new files.

  • Distribution of all requested files from Registry.

  • Tracing and assisting with the retrieval of all files.

  • Filing documents and storing of files.

  • Assisting with the updating and maintaining of all Registry registers and databases.

  • Assist/relieve at Reception when required

 

 

Only applicants who have never participated in any internship program will be considered.

 

Placements will be in accordance with SANRAL’s Internship policy therefore proximity of applicants to the relevant SANRAL Offices will be taken into consideration.

 

EMPLOYMENT REFERENCE CHECKS

 

Employment reference checks are a requirement as part of SANRAL’s recruitment and selection process. In order for SANRAL to conduct these checks a consent form needs to be completed and signed by the applicant.
